Human Resources Specialist (Contract)

The Human Resources Specialist is responsible for partnering with several internal stakeholders to manage and execute on project coordination, overseeing all internally developed (Windsor) HR systems on the People Relations function and managing the agency partnership programs to ensure external vendors are aware of Vistaprint requirements and culture, to successfully staff our labour needs.



Temporary Agency Structure

  • Responsible to address all matters as it relates to temporary Team Members including but not limited to; addressing performance matters, policy interpretation, investigations and conflict resolution, ensuring legislative compliance, etc. 
  • Participates in the temporary to full-time hiring process including coordinating the assessment process to determine eligibility for hire
  • Responsible to analyze temporary Team Member turnover and identify opportunities for improvement for placement retention
  • Works in conjunction with the Coordinator, People Relations to ensure a successful holiday season, including leading communications to the organization in addition to supporting and ensuring temporary labour needs are fulfilled
  • Responsible to ensure multiple staffing agencies have up-to-date company information including orientation presentations, policy updates and onsite instruction manual
  • Responsible to manage HR-related programs that are in place for temporary Team Members – i.e. bonus, referral, etc.
  • Responsible for evaluating the effectiveness of the agencies in partnership with Purchasing and delivering requirement feedback


Projects & Systems

  • Ability to efficiently execute multiple tasks simultaneously to meet all committed project timelines
  • Responsible to create comprehensive action plans concerning resources and timeframes for projects
  • Track and monitor project/program schedule and coordinate deliverables to meet deadlines
  • Evaluate potential problems and technical hitches and develop solutions
  • Schedule and organize stakeholder meetings including the preparation of supporting reference materials
  • Responsible for coordinating all activities to rollout changes and pulse for feedback throughout the process
  • Own and manage all internal HR Systems to ensure capabilities match users’ needs and policies
  • Work directly with IT development team to prioritize system enhancements and builds
  • Provide interchangeable back-up coverage with the Coordinator, People Relations position
  • Required to liaise and maintain close working relationships with various departments and stakeholders including Analytics, Operations, Purchasing, IT and Human Resources
  • Maintaining the highest level of confidentiality in all areas of responsibility
  • Other duties and projects as assigned



  • 3-5 years’ Human Resources experience preferably in a large manufacturing environment
  • Previous experience in a sourcing and recruitment role and/or employee relations related capacity considered an asset
  • Minimum College Diploma in Human Resources, Business Administration or a related field or equivalent work experience
  • Understanding and knowledge of HR policies in addition to applicable legislation 
  • Strong in the use of Microsoft Excel (i.e. pivot tables, VBA) in addition to other Microsoft applications include Outlook, Word and PowerPoint
  • Ability to communicate effectively and professionally (both verbal and written)
  • Highly developed organization skills, including superior attention to details and accuracy
  • Ability to manage multiple projects and tasks simultaneously
  • Self-motivated with the ability to take initiative in identifying and resolving problems independently
  • Must be capable to adapt and adjust to changing needs and priorities quickly
  • Demonstrated problem solving skills and confidence to make recommendations
